Extract shipment information without inventing details


Identify ports or addresses, cargo description, mode, piece count, dimensions, weight and dates when present. Preserve the relevant email or attachment as evidence.


If the message contains conflicting details, flag the conflict. The most recent sentence does not always replace an earlier instruction, especially in a forwarded thread.

Route work and preserve ownership


Define routing rules using the information your team trusts, such as customer ownership, branch, service or existing shipment assignment.


AI may suggest a destination where the message is ambiguous. The workflow should offer a review queue when it cannot establish a reliable match.


If a case moves between teams, preserve its history and outstanding questions. A forwarded email alone should not be treated as proof that responsibility was accepted.


Prepare useful responses for approval


A draft response should answer the request using verified information or ask for the details needed to proceed.


For a quote enquiry, request missing cargo or movement information. For a tracking enquiry, distinguish a confirmed milestone from an estimate. For a document request, verify the recipient before attaching a file.


Require approval for prices, booking commitments and customer-facing changes to shipment arrangements. Automated acknowledgement, where configured, should not imply that a quote or booking has been confirmed.

The customer response is checked before sending. It asks for the missing cargo details and provides only the confirmed status information. Neither task is closed merely because a draft was generated.

Use agreed definitions and a reviewed sample:


  • First useful response time: time from receipt to a response that answers the question or requests necessary information.
  • Routing accuracy: correctly assigned reviewed requests divided by all reviewed requests.
  • Unresolved queue: open requests, grouped by age and owner.
  • Draft correction rate: reviewed drafts requiring substantive correction.
  • Duplicate-task rate: repeated tasks created for the same request.

Separate business hours from elapsed time where relevant. Include failed and manually routed cases in the evaluation.
